Step Six: Submit Hiring Documents

Once an oral offer is accepted, the hiring administrator (or designee) must:

  • prepare an offering letter (sample letters are available on the Provost’s website)
    • Contact Human Resources if you need assistance completing the letter

Employment verification and background check are required as a condition of job offer. Contact the Office of Human Resources with questions.

In addition to the documents previously mentioned for submission, additional forms may be required as part of the employment process.

A complete set of official transcripts should be submitted by the selected applicant, please remind the applicant of this during the verbal offer.

  • No copies will be accepted
  • Only transcripts that carry the official seal of the registrar sent directly to Human Resources or the Provost’s Office from the granting institution.

The Immigration Act of 1990 imposes strict federal regulations on employers regarding the employment of non-United States Citizens. To comply with the law, the identity and eligibility of anyone hired by Western Illinois University must be verified following an offer of employment. The I-9 Employment Eligibility Verification ( form must be completed, regardless of assumed or reported nationality. Non-U.S. citizens must provide a visa type that permits him/her to complete the Employment Eligibility Verification form, which results in remuneration for work performed. If the individual is not within the proper visa status, no remuneration will be generated. For further information, please contact Human Resources at (309) 298-1971.

The Office of Human Resources will maintain the official search files, including search-related materials for a minimum period of three years from date of hire. After three years, all documents will be destroyed in accordance with the Illinois State Records Act.
