Policy Concerning the Scheduling and Use of Western Hall

  1. The Department of Campus Recreation, the Department of Physical Education, the Athletic Department, the Bureau of Cultural Affairs, the College of Fine Arts and Communications, the University Union, and the University Union Board are given the exclusive right to utilize Western Hall for programming and educational activities with the exception of commencements, convocations, and the Ag-Mech Show.
  2. All programming and use of Western Hall must be sponsored or co-sponsored by one of the bodies mentioned above, except as noted.
  3. Each of the aforementioned bodies represents a specialized area of programming and must confine its use of Western Hall to its area of specialty. The co-sponsoring of events must also be consistent with these specialized areas of jurisdiction. In unusual circumstances where the type of programming does not fall into one of the specified areas of jurisdiction, the Western Hall Advisory Committee will decide matters of jurisdiction and approval.
    1. The Athletic Department will sponsor all athletic events.
    2. The Department of Campus Recreation will be responsible for sponsoring intramural and campus recreation activities.
    3. The Department of Physical Education will represent classroom interest in and use of Western Hall.
    4. The College of Fine Arts and the Bureau of Cultural Affairs will be responsible for providing cultural attractions such as symphonies, "cultural dance", drama, classical soloists, and lectures.
    5. The University Union Board will be responsible for the presentation of popular entertainment such as rock attractions, pop artists, country artists, circuses, and movies.
    6. The University Union will be responsible for coordinating special use of the facility by outside groups.
  4. The scheduling of Western Hall is to be done through the Director of Athletics or designee.

Western Hall Advisory Committee:

  1. The committee shall consist of the following members:
    1. Vice President for Student Services or designee
    2. Assistant Vice President for Student Services--Student Support Services
    3. Bureau of Cultural Affairs President
    4. Concert Productions Chair
    5. Representative from the College of Fine Arts and Communications
    6. Representative from the Department of Physical Education
    7. Representative from the Athletic Department
    8. Performing Arts Coordinator
    9. Student Government Association President
    10. University Union Board President
    11. Director of the Physical Plant
    12. Representative from the University Union Scheduling/Conference Area
  2. The duties of the Committee are:
    1. To annually review all Western Hall programming and to make scheduling and policy recommendations to the Vice President for Advancement and Public Services.
    2. To decide whether and/or which groups will be allowed to program an activity when the area of programming does not fall into one of the following specified areas of jurisdiction: Department of Physical Education, Department of Campus Recreation, Bureau of Cultural Affairs, University Union Board, College of Fine Arts and Communications, Athletic Department, and University Union.
    3. To act as an appeals board in jurisdictional and scheduling disputes among the seven groups listed in (B).
    4. To meet periodically to review major problems involving activity scheduling of Western Hall facilities.
  3. A subcommittee will serve as a referral group to handle questions and concerns regarding current or upcoming events or activities. The subcommittee will meet and/or confer as needed. The subcommittee shall consist of the following members:
    1. Assistant Vice President for Student Services--Student Support Services
    2. Director of the Physical Plant
    3. Concert Productions Chair
    4. Representative of the Department of Physical Education
    5. Representative of the College of Fine Arts and Communications
    6. Representative of the Athletic Department
    7. Director of Campus Recreation
    8. Representative from the University Union Scheduling/Conference Area
