General Use Electronic Classroom Support Agreement

This agreement is between University Technology (uTech) and Academic Colleges in regard to support of General Use Electronic Classrooms and serves as an outline of roles and responsibilities, with a goal of maintaining/providing a quality classroom environment, as defined by the President’s Technology Advisory Users Group.

General Use Electronic Classroom Definition

Minimum technological standards for electronic classrooms include:

  • Ethernet Connectivity
  • Computer
  • Mounted Projector
  • Document Camera
  • VCR/DVD Player
  • Audio System (with wall-mounted speakers)
  • Telephone

All uTech updated Electronic Classrooms will be classified as a General Use Electronic Classroom, which can be accessed by students, faculty, and staff from any discipline at Western Illinois University.

Members of the Campus Community may contact the Classroom Scheduling Office or any College to reserve General Use Electronic Classrooms, just as they would any other General Use room. A suitable room will be scheduled, and the requester will be provided with additional information about how to access the room and equipment.

General Use Electronic Classroom Policy and Procedures

The Request for Classroom Purpose Change form will need to be submitted for any room that changes from General Use to Exclusive use or vice versa.

Room Keys

Eeach General Use Electronic Classroom will have a Primary Key Holder and Secondary Key Holder.

  • The Primary Key Holder will be the budget department indicated on the Space Master file.
  • The Secondary Key Holder will be the College of the budget department.
  • If the room is not located in the same building as the College office, or if the College is the Primary Key Holder, then the Building Representative where the room is located will be the Secondary Key Holder.

Responsibilities of Key Holders include unlocking the rooms, issuing and/or loaning out room keys as needed. Current list of Building Representatives.

Keys for General Use Electronic Classrooms should be the same as the keys for all electronic classrooms in the building. A Classroom (either exclusive use or general use) that is converted to an Electronic Classroom (either exclusive use or general use) will require re-coring of the classroom.

Scheduling

During the course schedule building process, the budget department has priority over scheduling all of their rooms. Once the course schedule proof has been returned to the Office of the Registrar and before the course schedule is available on Course Search, scheduling of General Use rooms is done by the Classroom Scheduling Office only. After the course schedule has been posted on Course Search, General Use rooms can also be scheduled by anyone with scheduling ability on the PRMU screen (Colleges, WIU-QC, etc). Those who reserve General Use Electronic Classrooms must contact the Primary Key Holder for instruction about how to access the room and/or equipment. The Primary Key Holder will be listed on the event permit.

The room requester assumes responsibility for care of room facilities and equipment. Upon departure, the room is to be left clean and ready for classes to resume. Abuse of this policy may result in loss of room use privileges.

uTech Responsibilities

Classroom Support Services maintains the campus classroom inventory, and along with the University Technology Support Center, provides real-time classroom assistance at (309) 298-2704.

Classroom Support Services is responsible for the maintenance and operational support of standard technology in designated General Use Electronic Classrooms, as well as providing training assistance in the use of classroom instructional technology.

Technology maintenance and operational support includes that of new and college transferred technology equipment. Responsibility for equipment vandalism and theft will be covered by uTech, provided doors to General Use Electronic Classrooms are locked when not in use. All equipment will be repaired and/or replaced in a reasonable timeframe.

Assistance with the installation of Departmental hardware and software is available upon request.

College Responsibilities

Each college is responsible for ensuring room security; General Use Electronic Classrooms will be locked when not in use. General Use Electronic Classrooms are not to be disassembled or reconfigured. Request for Classroom Purpose Change and Equipment Transfer forms will be completed as needed.

Colleges will retain facilities responsibility for room fixtures such as carpeting, paint and furniture. Room supplies such as batteries, chalk, dry erase markers and remotes will be provided by the college.

Departmental software licensing, training and support will be provided at the college level. Assistance from uTech is available as needed.
