Adding Your Copier as a Printer in Windows XP

Adding an Active Directory (AD) Printer

  1. In "Printers and Faxes" (accessible from the Start menu), select "Add Printer" from the File menu; then, press the Next button in the Add Printer Wizard welcome dialog.
  2. Select "A network printer, or a printer attached to another computer" in the Add Printer Wizard: Local or Network Printer dialog; then, click the Next button.
  3. Select "Find printer in the directory" in the Add Printer Wizard dialog; then, press the Next button.
  4. In the Find Printers dialog, select "Entire Directory" or "ad" from the In pull-down menu; then, select the Printers tab.
  5. Enter part of the name of your department in the Name field or the room number of your copiers location in the Location field or the number segment of your copier's model number in the Model field. Put an asterisk immediately before and and asterisk immediately after whatever text you enter in these fields—for example, "*5000*" (without the quotation marks) if you want to print to your Canon imageRUNNER 5000; doing so searches for "5000" in any part of the model description.
  6. Press the Find Now button.
  7. Select the item corresponding to your printer from the list that appears near the bottom of the Find Printers dialog; then, press the OK button. Typically, the names of printers contain a building abbreviation and room number designation, a printer model designation, and a department designation (spearated by hyphens).
  8. Make a selection in the Add Printer Wizard: Default Printer dialog.
  9. Click the Finish button in the Add Printer Wizard: Default Printer dialog.

To print to the target copier-printer, select the name of the target printer in the "Print" dialog box. For advanced print options, click the "Properties" button in the "Print" dialog box. Select the various tabs ("Page Setup", "Finishing", "Paper Source", "Quality") to explore and make various settings.

Adding an Internet Protocal (IP) Printer

Only attempt this longer, more complicated method if all efforts at using the "Adding an Active Directory (AD) Printer" method described above have failed.

  1. Download and expand (unzip, unpack) the necessary installer file from the Canon website. See Printing to Your Copier: Print Software.
  2. In Printers and Faxes (Start > Settings > Printers and Faxes), click "Add a printer" option.
  3. In "Add Printer Wizard" dialog, click the "Next" button.
  4. In "Add Printer Wizard: Local or Network Printer" dialog, select "Local printer attached to this computer" radio button and deselect "Automatically detect and install my Plug and Play printer" checkbox. Click the "Next" button.
  5. In "Add Printer Wizard: Select a Printer Port" dialog, select "Create a new port" radio button and select "Standard TCP/IP Port" option from the corresponding pull-down menu. Click "Next" button. (If you have already created the port for the target copier-printer, select "Use the following port" radio button and select the standard TCP/IP port with that target copier-printer's IP address from the corresponding pull-down menu.) Click the "Next" button.
  6. In the "Add Standard TCP/IP Printer Port Wizard" dialog box, click the "Next" button.
  7. In the "Add Standard TCP/IP Printer Port Wizard: Add Port" dialog box, enter the IP address* of the target copier-printer in the "Printer Name or IP Address" field. (The "Port Name" field will auto-complete.) Click the "Next" button.
    *To obtain the IP address of a Canon copier-printer, press the "Additional Functions" button on the keypad on the front of the copier-printer; press the "System Settings" button on the LCD screen; press the "Network Settings" button on the LCD screen; press the "TCP/IP Settings" button on the LCD screen; press the "IP Address" button on the LCD screen; record the IP address from the "IP Address" field of the LCD screen. Press the "Reset" button on the keypad on the front of the copier-printer.
  8. In the "Add Standard TCP/IP Printer Port Wizard: Completing the Add Standard TCP/IP Printer Port Wizard" dialog box, click the "Finish" button.
  9. In "Add Printer Wizard: Install Printer Software" dialog, click the "Have Disk..." button.
  10. From the "Install From Disk" dialog, click the "Browse..." button and (in the "Locate File" window) navigate to the location of the required INF file and click the "Open" button. (You will find the INF file among the expanded files that you downloaded from the Canon website. Usually, the INF file is in a subfolder labeled with the version of Windows that you are running (e.g., "xp" for Windows XP, "w2k" for Windows 2000, or some similar abbreviation); if you have selected *.inf in the file type field of the "Locate File" window, the INF file will be the only file you see and may even show the .INF file extension.)
  11. In the "Install From Disk" dialog, click the "OK..." button.
  12. In "Add Printer Wizard: Install Printer Software" dialog, select the model name of the target copier-printer (e.g., "Canon iR5070 PCL6", "Canon iR5070 URF II", "Canon iR5000 PCL6", "Canon iR5000 URF II", "Canon iR3530 PCL6", "Canon iR3530 URF II", "Canon iR2230 PCL6", or "Canon iR2230 URF II"). Click the "Next" button.
  13. In "Add Printer Wizard: Name Your Printer" dialog, enter a useful name in the "Printer name" field or leave (and make a note of) the default. Click the "Yes" or "No" radio button, indicating whether you wish to use the target copier-printer as your default printer. Click the "Next" button.
  14. In "Add Printer Wizard: Printer Sharing" dialog, select the "Do not share this printer" radio button. Click the "Next" button.
  15. In "Add Printer Wizard: Print Test Page" dialog, select the "yes" radio button to print a test page. Click the "Next" button.
  16. In "Add Printer Wizard: Completing the Add Printer Wizard" dialog, click the "Finish" button.
  17. The "Add Printer Wizard" will copy files to the proper locations and quit.

To print to the target copier-printer, select the name of the target printer in the "Print" dialog box. For advanced print options, click the "Properties" button in the "Print" dialog box. Select the various tabs ("Page Setup", "Finishing", "Paper Source", "Quality") to explore and make various settings.
